LodgeApp (“we”, “us”, “our”) provides this platform. This policy explains what personal information we collect when you visit a website powered by LodgeApp, why we collect it, and how we use it. It applies to the LodgeApp platform at lodgeapp.co.uk and all lodge websites hosted on LodgeApp.

1. Who we are

LodgeApp is the data controller for the LodgeApp platform. Each Masonic lodge that uses LodgeApp is an independent data controller for the information submitted to it by its members and visitors, such as membership enquiries and event bookings.

2. Information we collect and why

When you book or pay for an event

We collect your name, email address, dietary requirements, and any other information the lodge requests on its booking form. Payment is processed securely by Stripe. We do not store or have access to your card details.

Legal basis: contract performance (to process your booking) and legal obligation (financial record-keeping requirements).

When you submit a membership enquiry

We collect your name, email address, phone number, and any message you include. This information is passed to the lodge you enquired about and stored securely on our platform.

Legal basis: legitimate interests of the lodge in responding to prospective members.

When you visit any LodgeApp website

Our hosting infrastructure records standard server logs, including your IP address, browser type, and the pages you visit. These logs are used solely to operate and secure the platform. We do not use analytics tracking software or advertising cookies.

Legal basis: legitimate interests in operating and securing the platform.

When you sign in as a lodge administrator

We store your name, email address, and a securely hashed version of your password to give you access to the admin area.

Legal basis: contract performance (to provide the service you registered for).

3. Who we share your information with

Individual lodges receive the information you submit through their enquiry and booking forms and are responsible for how they handle it under UK GDPR.

Stripe processes all card payments on our behalf. Your payment information is governed by Stripe's Privacy Policy.

Our hosting provider stores and processes data as part of running the platform infrastructure under a data processing agreement with us.

We do not sell your personal information. We do not share it with any other parties except as required by law.

4. How long we keep your information

  • Booking records: up to 7 years, to meet financial record-keeping requirements.
  • Membership enquiries: up to 2 years, or until the lodge requests deletion.
  • Server logs: up to 90 days.
  • Administrator accounts: until you request deletion of your account.

5. Your rights under UK GDPR

You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Delete your information, subject to our legal obligations to retain certain records
  • Object to processing based on legitimate interests
  • Restrict processing in certain circumstances
  • Portability of information you have provided to us in a structured, machine-readable format

6. Cookies

Our hosting infrastructure may store and process data in countries outside the UK. Where this occurs, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the UK Information Commissioner.

8. Complaints

If you are not satisfied with how we have handled your personal information, you have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection.
